Workplace conversations about AI often get stuck. This workshop gives participants the practical tools and confidence to change that – moving beyond the for-or-against standoff toward something more nuanced and constructive.
AI isn't new, especially for heritage communities. For over 20 years, conversations about machine learning stayed within specialist circles (researchers developing sector-specific tools for metadata enrichment). Today, those conversations have expanded to include curators, project managers, HR departments, and legal teams. People with very different understandings of what AI is, what it's for, and what it means are being asked to sit down together and agree on organisational policies or cross-departmental “AI” projects. More often than not, these conversations end in frustration. But it doesn’t have to.

That's what How to Talk to People About AI was made for. Developed by the Netherlands Institute for Sound & Vision and AIxDESIGN, it's a practical playbook of workshop activities, icebreakers, and facilitation guides that help teams create an environment for more honest, grounded, and productive dialogue about using AI in the workplace.

In this interactive workshop, participants try out these tools firsthand and leave with techniques they can bring back to their own organisations. Because the real work – reimagining stewardship ethics, or building infrastructures for metadata exchange – is hard enough without getting derailed by arguments about AI.

Azimuth Adjustments: Will We Do All Our Collections Again?

The current methodology to correct azimuth on quarter inch audio tape based upon a combination of spectral tools and listening abilities has led in the last 25 years to common practices how to digitize tapes with wrongly adjusted azimuth. In a recent field test with senior archive audio engineers and young students, a test was done to compare different approaches how to adjust azimuth – based upon ears, spectral tools, and completely new approaches. The test results of traditional and new methodologies will be presented, which might put a new light and a question in the way how collections have been digitised in the past.

MediaShield: Preserving the Authenticity of Community Radio Archives in the Age of AI-Generated Audio

MediaShield is a preservation-oriented framework designed to protect the authenticity and integrity of sound archives in the age of generative artificial intelligence. As deepfake audio and voice cloning technologies become increasingly accessible, audiovisual heritage—especially within community and associative radio—faces growing risks of manipulation and loss of trust.

MediaShield addresses this challenge by combining acoustic identification with AI-assisted analysis to verify both the origin and integrity of audio recordings. The system is designed for local deployment, without cloud dependency, making it suitable for low-resource environments where many cultural archives are maintained.

By supporting authenticity, traceability, and long-term preservation, MediaShield contributes to safeguarding sound memory and strengthening trust in audiovisual archives in the context of rapidly evolving AI technologies.

Permanent Records, Permanent Access, Permanent Readability: Cerabyte The New Storage Technology

Existing storage technologies for medium- to long-term preservation, such as magnetic tape, as well as emerging approaches for very long-term storage, including DNA, Microsoft Silica/SPhotonix, and Holomem, still face significant limitations in fast access and high-performance readout. Without these capabilities, any new storage medium is unlikely to meet the practical requirements of contemporary and future data storage infrastructures.

Cerabyte introduces a new technology for permanent, sustainable, and cost-efficient data storage over extended periods, while delivering high-performance and random-access. Based on ceramic materials, the medium suffers no bit rot and withstands humidity, high temperature, corrosion, and magnetic pulses.

A technology intended to preserve data across centuries raises two fundamental questions for archives: first, how can data be read if the original reading technology is no longer available; and second, assuming the bits can be recovered, how can they be translated into meaningful information?

Although Cerabyte provides dedicated high-performance readers, the stored data can also be read independently using standard industrial microscopy. Provided that the error-correction algorithms remain known, the encoded information can be reconstructed from the recovered bit patterns.

Our presentation will demonstrate such an independent recovery workflow. A feature film from one of the world’s largest entertainment corporations, whose name will be disclosed prior to IASA, will be written to Cerabyte media. It will be read using an industrial microscope and a makeshift decoder developed by CERN.

The workflow, technical approach, and results will be presented and discussed at IASA.

Piql Technology as a safeguard for memory, Identity and authenticity of audio visual archives

The study identifies adoption of Piql technology as one of the ways through which archival institutions can preserve the memory, identity and authenticity of audio-visual archives in the face of unforeseen disasters. Using the United Arab Emirates (UAE) National Library and Archives (NLA) as a case study and based on literature review, the paper assesses the ways in which the UAE NLA safeguards it audio visual archives from possible effects of disaster and conflict. Secondly, it outlines how the adoption of Piql technology by the UAE NLA preserves the memory and identity of audio-visual heritage. Lastly, it describes ways in which the use of Piql technology at the UAE NLA safeguards the authenticity of audio-visual archives in the age of AI and misinformation. The study revealed that Piql’s Arctic World Archives is located in a geographically stable, mountainous location that protects audio visual archives from extreme weather conditions such as floods from rising ocean levels. Further, it’s a disaster proof vault that requires zero electricity thus offering ecofriendly storage with zero carbon emissions. Secondly, the permanency nature of the Piqlfilm safeguards the memory and identity of UAE heritage by storing data in a photosensitive film that does not require regular technology upgrades and is designed to last over 1000 years. Lastly, it emerged that the authenticity of UAE’s archives in Piqlfilm format is maintained by storing data offline in a read only medium that cannot be hacked, modified and deleted.
